Position Title: Office Manager
Status: Part Time (20-25 hours per week)
FLSA Status: Non-Exempt
Immediate Supervisor: Executive Director
Key Responsibilities:
- Ensures effective office management of systems and related processes
- Oversee intern recruitment, training, scheduling, assignments and utilization
- Obtaining and distributing mail
- Monitor and delegating emails from the primary “info@texas4000.org” email account
- Manage merchandise inventory, storage and order fulfillment
- Manage donor tax receipt process with assistance of interns and Program Manager
- Manage donor stewardship process in coordination with other staff
- Manage inventory and purchasing of office supplies and equipment
- Participate in weekly staff meetings to ensure effective coordination
- Ensure effective filing systems and document retention
- Assist with large copying projects and mass mailings
- Coordinate with Program Manager and Executive Director on accounts payable
- Data entry/donor database management
- Provide staffing support at major program and fundraising events
Other Duties:
- Manage website newsletter entries/ride dedications/journal approvals
- Assist Executive Director with communications to board members and donors
- Occasionally assist Executive Director with HR, payroll, and risk management
Desired Skills/Competencies:
- Ability to manage multiple projects and delegate responsibility
- Experience working with and managing college-aged student leaders
- Flexible schedule to ensure office coverage/intern support
- Strong technological skills, including database, web-based research and email
- Strong commitment to outcomes
- Great sense of humor and ability to have fun in a small office environment
Requirements:
- Commitment to mission of Texas 4000 for Cancer
- Must have a vehicle and able to commute to the Texas 4000 office and local travel within the Austin area.
- Database experience (Raiser’s Edge preferred)
- Minimum of 3 years of relevant administrative experience
- High School diploma (or equivalent) required. College degree preferred but will accept relevant work experience in lieu of college degree.
